Get Started with Copilot with Data Protection

Copilot with data protection (also known as Microsoft Copilot Enterprise) is an AI-powered communication tool. It is built on the multimodal large language model GPT-4 and the text-to-image model DALL-E 3. This allows you to chat with an AI that can generate text responses and create images based on your descriptions.

Copilot’s Features

  • Chat Limit: You can have up to 300 chats per day, including 5 file uploads with a maximum size of 1MB each.

  • File Upload: Copilot can analyze the content of files you upload into the chat box. Copilot supports the file formats listed in Microsoft’s documentation.

  • Current Information: Copilot uses the Bing search index to provide the most up-to-date responses. 

  • Transparency: All responses from Copilot include verifiable citations for transparency. 

  • Microphone: With Copilot’s speech capabilities, you can communicate by speaking to it instead of typing. 

  • Notebook: Allows for longer prompts and refining prompts. It can be accessed in the Copilot header UI. 

  • Updates: Please refer to Microsoft’s website to stay up to date with Copilot’s new capabilities 

Copilot’s Limitations 

  • Chat History: Your chat history and responses are not stored anywhere. If you wish to save them, you will need to use the Copy or Export functionalities to copy your chat interaction into another document. 
  • 3rd-Party Interaction: To protect data, 3rd-party plugins/actions are not supported. This means that Copilot cannot be interacted with through an API. 
  • Chat Limits: There is a restriction on the number of interactions between a user and Copilot during a conversation. Currently, this is 30 interactions turns per chat.  

Privacy and Protections 

  • Data Security: All your chat data is securely encrypted and cannot be accessed by anyone after the chat session has ended.
  • Chat History: Copilot does not store previous chats, nor does it make chat history available to anyone.
  • Data Usage: Microsoft does not share any information with OpenAI. Your chat data is not used to train the underlying AI models.
  • Data Access: Copilot has access to data if you explicitly copy data into the chat or if using the Microsoft Edge Browser, Copilot can access the active browser tab context when enabled.
  • Data Classification: You can include up to moderate risk data in the chatbot. Do not use high-risk data with Microsoft Copilot. 
  • Sign-In Protection: When you sign in with your Yale account, ensure that you are signed into the protected Copilot experience. You can identify this by the protection shield icon next to your profile that confirms that your data is protected in this chat. Please be aware that you may need to click around or log out and then back in for the green shield icon to appear.

Accessing Copilot

  1. Go to Copilot with data protection on any browser and sign in with your Yale account. This applies to all users who are above 18 years old, irrespective of whether they are using a Yale managed or their own device.
  2. If you are using the Microsoft Edge browser, you can use Copilot directly in the browser by selecting the Copilot icon in the right-hand corner of the browser window, enabling you to interact with the content displayed in the active browser tab.
  3. If you are using a Yale Managed Workstation, you can also use the Copilot Desktop Widget that appears on your laptop. If it’s missing, please contact Yale ITS.
  4. After logging in, you can start chatting with Copilot. For usage ideas, refer to Microsoft’s documentation.
